CATALOGING DEPARTMENT:

Goals/Challenges

1995/1996

1. Involve everyone in Technical Services in a project to eliminate the backlog of Government Publications shipping list item records. Reassess procedures and work assignments to help complete the project. Also respond to needs to attach smart barcodes to items in Government Publications to prepare for circulation. Time frame is July-December 1995.

2. Reclassify and relabel VideoR's at the recommendation of the AV subject access group. Assign classification numbers by December 1995. Reclassify, relabel, and update records by January 1996.

3. Provide VTLS catalog access to fulltext periodical titles contained on the IAC Expanded Academic Index and ASAP. May need to respond to other needs for cataloging fulltext titles. Plan and activate Spring/Summer 1996.

1996/1997

1. Plan a project to begin to reduce the backlog of gift sound recordings currently in storage. As part of the implementation plan include the possibility of training and participation by additional DI members. During the planning phase, establish specific goals for the year. Plan: August/September. Implement: September through December 1996.

2. Establish procedures and begin to catalog material for the SPC audiovisual collection (video & audio). Include in the process being developed, an understanding of the route the materials takes in reaching the library, the availability of post-production editing if needed, and other questions related to the departure of Instructional Services from the Library. Include in the plan the opportunity for additional training and participation by DI and possible SPC team members. During the planning phase, establish specific goals for the year. Plan: January 1997. Implement: January through May 1997.

3. Barcode the reference collection based on the plans and procedures developed in Spring 1996. Implement: August break 1996.

4. (Eliminated by Coordination 4/96)

5. Continue implementation of the cataloging project for journals available on the IAC service. Implement: June through August 1996.

(Note: The government publications barcoding project will be continued as part of regular workload for the 1996/97 year.)

1997/1998

1. Continue Special Collection AV cataloging goal from 1996/97. Plan and work with Delores Sumner in the prioritizing and data collecting of materials to be cataloged. Write guidelines and develop procedures. Set monthly quotas. 1997/98

2. Finish barcoding Ref. collection in Law Ref., loose-leafs, and limited retention from 1996/97 goal. Plan - July, implement August break 1997.

3. Examine ways of cataloging materials, electronic serials as well as individual Internet resources on the Internet. Write procedures and plan project. Sept./Oct. 1997

4. Reduce backlogs with the continuance of SPC AV goal. Further reduce the backlog with a short term AV retro, barcoding project, which will include 16 mm films. Plan project and write procedures. May 97

5. Reexamine workflow, focusing on jobs, and backups. Include as part of the examination, ways/steps to increase productivity and reduce costs. Make recommendations for specific changes. Compare with outsourcing proposal compiled by the Technical Services Director. Spring 98

1998/1999

1. Develop procedures for and integrate the material for the newly created Test file into cataloging routines. Plan in June and implement in July so that material is available for use in Sept. 1998.

2. Revise, and expand the DI manual outline and then begin revising old procedures and writing new areas which have been identified as needed. Revise outline in July and begin with review / revision procedures, alternating monthly with new procedures. Continue process throughout the year.

3. Complete barcoding in the remaining section of law reference (K-KF140). Scheduled for the Aug. 1998 break.

4. Complete the sound recording barcoding project by locating and downloading missing bibliographic records using the CatCD for Windows. Schedule one day a month as "Sound recording day" beginning in September. Involve all members of DI so that we can all learn to use the CatCD and help determine other uses for the product.

1999/2000

2000/2001

1. General workflow during summer 2000, with no student help and Jackie off most of May and all of June. Every cataloger will have to her own processing and item record creation. Backups for Jackie's DI Tasks are Harriett, Linda and Ren6e. (May-August 2000)

2. Continue to work on a solution to the label printing problem. (Install new printers in July 2000)

3. General workflow issues/Keeping production up - The challenge here will be to keep our regular cataloging production, including approvals, and other work caught up enough that we have more time to work on curriculum materials and other projects. (Ongoing)

4. Respond to Database Implementation Task Force recommendations regarding the new VTLS "Copy Cat" database; make plans for the shelflist; participate in barcoding projects and any other needed projects. (October 2000-May 2001)

5. Catalog the backlog of curriculum materials and get current on curriculum materials cataloging. (Have language arts materials cataloged by the end of July 2000; science materials by the end of December 2000; and to catalog the new subject in January-May 2001)

6. Make plans and implement them for cataloging materials for the new Broken Arrow campus. (September-November 2000)

7. Resume the government publications project. (September 2000)

8. Write and /or update needed manual pages. (At least 1-2 pages per month)

9. Resume the SPC video project. (April 2001)

10. Reduce the authorities backlog.

11. Plan and implement the next OCLC/TechPro project, in order to get the latest gift of 1,566 scores cataloged.

2002/2003:

1. Manual pages – on going – (July 2002 - June 2003)

2. Identifying needed cataloging tools and provide access to tools at individual desks – (July 2002 - August 2002)

3. Explore the possibility of purchasing cataloging and processing for some part of workloads: Broken Arrow – (September 2002 - December 2002)

4. SPC video project – (September 2002 - June 2003)

5. Distribution of jobs & streamlining of processes. Study backups for team tasks (August 2002). Examine each job or task in coordination with the rest of Technical Services (Sept. 2002) Select one to four tasks for improvement. Explore new ideas for streamling tasks. (Sept./Oct. 2002) Plan for implement changes and training, revise job descriptions. (Nov. 2002)

6. Purchase automated authority control – pending funding – (April 2003 - May 2003)

7. OCLC Music project - pending funding - (Sept. 2002-May 2003)

2003/2004

1. Continue SPC video project (2 years each year)

2. Review and update manual pages (on going) (1 page per month)
